Nippon Paper Chemicals : Basic Policies of Nippon Paper Chemicals Co., Ltd. Concerning Privacy Protection

To ensure compliance with the Law for Privacy Protection and other regulations, the Nippon Paper Chemicals Co., Ltd. ("Nippon Paper Chemicals") have established voluntary rules and set up an organization for the management of personal data of customers, partners, employees, and other stakeholders of Nippon Paper Chemicals that are used in the course of daily businesses.
The basic policies set out the policies of the highest hierarchy of Nippon Paper Chemicals for the protection of privacy, and we declare that we are committed to instituting a range of measures pursuant to the basic policies.
Declaration for the Safe Handling of Private Data
  1. Nippon Paper Chemicals shall manage customer information and other private data appropriately and securely, and employ comprehensive safety measures to prevent the leakage, loss, unauthorized access to, destruction and forgery of this data.
  2. Nippon Paper Chemicals shall strictly abide by the laws and regulations related to privacy protection.
  3. Nippon Paper Chemicals shall take appropriate measures in response to inquiries regarding private data and privacy protection.
  4. Nippon Paper Chemicals shall collect personal data in an appropriate way, and never disclose such data to a third party without prior consent.
  5. Nippon Paper Chemicals shall ensure that its Board members, employees and affiliated persons are thoroughly aware of the above policies, and shall implement, improve and maintain the policies.

1. Clarification of purposes of usage of personal data

Nippon Paper Chemicals shall use personal data for the following purposes:
(1) For making appropriate suggestions and providing information related to products and services of Nippon Paper Chemicals;
(2) For providing materials and information requested by customers and others;
(3) For making contacts with respondents to calls for participation in events and other public occasions (such as campaigns) and for providing explanations, materials, information and services to them;
(4) For responding to inquiries from customers and others; or
(5) For employee management at Nippon Paper Chemicals.

2. Restrictions on the scope of use of personal data

(1) Shared use within the Nippon Paper Chemicals Group and Nippon Paper Group the holding company of Nippon Paper Chemicals
Nippon Paper Chemicals may share and use the personal data of customers and others in the Nippon Chemicals Group companies and Nippon Paper Group the holding company of Nippon Paper Chemicals, within the scope necessary for achieving the purposes of use. In such cases, each Group company will be urged to thoroughly implement management measures pursuant to the basic policies.

Nippon Paper Chemicals Support Co. Ltd.
Nippon Paper Group, Inc.
Nippon Paper Industries Co., Ltd.
• Data items to be shared and used:
The name, gender, date of birth, address, telephone number, facsimile number, e-mail address and information on products and services related to contracts and suggestions.
(2) Provision of personal data to contractors
Nippon Paper Chemicals may provide the minimum amount of personal data to its contractors, within the scope necessary for achieving the purposes of use. In such cases, the contractors will be urged to thoroughly implement management measures pursuant to the basic policies.
(3) Provision of personal data to third parties
Nippon Paper Chemicals shall not provide personal data to a third party other than the Group companies and contractors, without prior consent. However, personal data may be disclosed to a third person without prior consent in the following cases:

(1) When disclosure is required by laws and regulations;
(2) When disclosure is necessary to protect the life, physical well-being or assets of an individual and it is difficult to obtain prior consent;
(3) When disclosure is necessary especially for improving public hygiene or promoting the healthy development of children and it is difficult to obtain prior consent; or
(4) When disclosure is necessary to cooperate with national or local public organizations or a person or entity entrusted by them to carry out tasks pursuant to laws and regulations, and an attempt to obtain prior consent could hinder implementation of the task.

3. Collection of personal data

Nippon Paper Chemicals shall collect personal data through appropriate and lawful means.

4. Data management and safety measures

(1) Nippon Paper Chemicals shall manage personal data appropriately and stringently, and provide comprehensive safety measures to prevent leakage, loss, unauthorized access to, destruction or forgery of personal data.
(2) At Nippon Paper Chemicals, the head of each Division shall be responsible for encouraging the proper management of personal data, and shall use education and awareness enhancement to urge all employees to handle personal data properly.
(3) Nippon Paper Chemicals shall conclude agreements with contractors that are provided with personal data in which the contractors are obliged to handle personal data properly, and shall monitor the management situation periodically.

5. Inquiries on personal data

Nippon Paper Chemicals shall establish a point of contact for accepting inquiries for the disclosure of personal data and others, and shall take reasonable measures without delay pursuant to laws and regulations.
